Yuxuan Chen used a template letter from Chapter 6 — and the Ausländerbehörde approved on the spot

The right opening paragraph can save three months of correspondence.

Yuxuan is a mechanical engineer who moved to Stuttgart on a Blue Card three years ago. His renewal was straightforward on paper — same employer, same salary band, no gap in employment — but his HR team was quoting him a three-to-four month processing window and had asked him to pre-emptively avoid any travel. He bought our book on a Sunday evening after a frustrating call with a lawyer who wanted eight hundred euros to draft the cover letter.

Chapter 6 of our book contains eighteen template letters for the German Ausländerbehörde system, each with a one-page explanation of why the structure matters. Yuxuan used Template 6.4 — "Verlängerung der Blauen Karte EU bei unverändertem Arbeitgeber." He typed in his personal details, his employer’s address, the four pieces of supporting evidence we recommend attaching (payslips from the last six months, current contract, Krankenversicherungsnachweis, and the Zusatzblatt from his employer confirming no change in role), and sent the packet by registered post the next morning.

Eleven days later, his caseworker emailed him to say the application was approved and asked him to come in for the biometrics. The caseworker added a line we always love to hear quoted back to us: "Vielen Dank für die klare und vollständige Einreichung." Clear and complete. Those two words are what our templates are designed to produce.

It is worth being honest about what the templates are and are not. They are not legal advice. They are not a shortcut around complex cases. What they are is a battle-tested skeleton that saves you from writing a letter that gives the caseworker a reason to request a clarification. In Yuxuan’s case — a routine renewal that any lawyer would have called "a formality" — the only thing standing between him and three months of silence was a poorly structured first paragraph.

Yuxuan now runs an internal Confluence page at his company with scans of the pages he found most useful. His HR team has started quoting our book in their relocation briefings. We find out because every so often a batch of applicants from the same Stuttgart address writes to tell us they used Template 6.4.
